Session Scheduling and Discord

Agree on a real-world date, collect RSVPs in Tapestry or Discord, and add sessions to a calendar.

What session scheduling covers

Session Schedule tracks real-world game times: the date and time you actually meet, who has said they can come, and a calendar file for each session. It is separate from the in-world calendar, which tracks fantasy dates inside your story.

Everything works inside Tapestry on its own. Connecting Discord is optional; it posts each session to one channel so players can RSVP without leaving chat.

Session
One scheduled real-world game with a start time, a length, and a list of responses.
RSVP
A player answering Yes, Maybe, or No to a scheduled session.
Campaign timezone
The timezone session times are entered and stored in. Everyone else sees those times converted to their own.

Before you start

Scheduling needs the campaign owner to have Premium, and the person running the Tapestry server has to enable the feature. If either is missing, the Session Schedule page explains which one and still shows any sessions already created.

Important

Linking a Discord account is free for everyone. Only the campaign owner needs Premium, and their plan covers every player in the campaign.

Set up scheduling as the GM

  1. Open Session Schedule from the sidebar.
  2. In Schedule settings, choose the campaign timezone. Sessions cannot be created until this is set.
  3. Choose a default session length. It is used whenever you create a session without giving one.
  4. To use Discord, select Install Tapestry bot and give it access to the channel you want sessions posted in.
  5. Link your own Discord account from Account settings, then run /tapestry connect in that channel and pick the campaign.

Best practice

Use a dedicated scheduling channel. Everyone who can read the channel can see who has responded, so keep it to your table.

Create a session

  1. Select Schedule session, pick the date and start time, and optionally set a length and title.
  2. Select Preview session to check the time and where it will post, then create it.
  3. In Discord, run /tapestry schedule instead. The when field understands "friday 8pm", "tomorrow 19:30", or "2026-10-03 8pm".
  4. Leave duration empty in either place to use the campaign default.
  5. Check the preview before confirming; it shows exactly which date was understood.

Best practice

Editing only the title keeps existing RSVPs. Changing the start time or the length clears them, so everyone is asked again.

Respond as a player

  1. Open Session Schedule to see upcoming sessions in your own timezone.
  2. Answer Yes, Maybe, or No. You can change or clear your answer until the session starts.
  3. To answer from Discord, link your Discord account once in Account settings, then use the buttons on the posted session.
  4. Select Add to calendar to download the session as a calendar file.

Important

The calendar file is a snapshot. If the GM moves the session, download it again — it will not update on its own.

What Discord shows

The bot posts the campaign name, the session title and time, and the names of players who answered Yes, Maybe, and No. People who have not answered appear only as a count, never by name.

Names come from your Tapestry display name, not your Discord name. The bot never mentions or pings anyone.
